How to Merge PDF Files (and Get the Page Order Right)

Merging PDFs sounds like a one-click job, and often it is. The problems start when the pages end up in the wrong order, a scanned page appears sideways, or the finished file is too big to email. This guide covers the whole job, from preparing the files to checking the result.

When merging is the right move

Combine files when the person receiving them will read them as one document: a tender submission with its supporting certificates, a job application with ID and qualifications, a monthly set of delivery notes, or a report whose appendices were produced in different programs. One file is easier to attach, harder to lose, and reads in a predictable order.

Don't merge when the recipient needs to forward parts of the bundle to different people, or when a portal asks for each document in its own upload slot. In those cases, separate files save everyone time.

Step 1: Prepare the files before you merge

A few minutes of preparation prevents most problems:

  • Rename files with a number prefix. Names like 01-cover.pdf, 02-method-statement.pdf, 03-test-certificates.pdf sort themselves, so the order is obvious when you pick them.
  • Unlock protected files. A PDF that asks for a password when you open it can't be merged until the password is removed. If it's your document and you know the password, use Unlock PDF first.
  • Remove what you don't need. Blank scanner pages and duplicate covers add size and confusion. Remove pages takes care of them.

Step 2: Merge and set the order

Open Merge PDF and choose your files. You can add files in several rounds; each time you tap the drop area, new files join the list rather than replacing it. Drag the file thumbnails into the right order, then tap Combine.

At this point Maher PDF shows every page of the combined document. This review step is where you catch the problems that are easy to miss when you only look at file names.

Step 3: Review every page

Scroll through the thumbnails and look for three things:

  1. Sideways or upside-down pages. Scans of landscape drawings or forms often come out rotated. Use the rotate button under that page; you don't need a separate tool.
  2. Pages in the wrong place. Drag them to where they belong. A signature page that belongs at the end of a contract, for example.
  3. Pages that shouldn't be there. Delete stray blanks and duplicates.

When everything looks right, tap Save merged PDF.

Step 4: Check the size before sending

Merging doesn't shrink anything. The new file is roughly the size of all the originals added together, and many email services refuse attachments above about 20 to 25 MB. If your merged file is too big, run it through Compress PDF.

Keep in mind how compression works on this site: pages are redrawn as images, which makes the file much smaller but means text can no longer be selected or searched. Optional: add page numbers

For anything longer than a handful of pages, numbering the merged document makes it easier to discuss ("see page 14"). Run the final file through Add page numbers. Number after merging, so the count runs continuously through the whole bundle.

Common questions

Does merging reduce quality?

No. Merge PDF copies the pages into the new document as they are. Text stays selectable and images stay at their original resolution.

Can I merge on a phone?

Yes. Everything runs in the browser, so it works in Chrome on Android and Safari on iPhone. Very large batches can be slow on older phones because the work happens on the device; merge in smaller groups if that happens.
